What does MFP stand for on a printer?
Multifunction printer, the machine many offices still call the copier.
MFP stands for multifunction printer, and sometimes multifunction peripheral.
One machine prints and copies, and sends scans to email or a shared folder.
MFD stands for multifunction device.
According to Kyocera Document Solutions Australia, many people use the two names interchangeably.
Its January 2018 guide adds that an MFD is usually larger, with more features.
Outside printing, MFD also names a multifunction display in a cockpit or a car.
Under this agreement, each office is supplied its printer.

Which device terms will a quote use?
Seven words describe the printer and the fleet it joins.
- A4 printer
Takes paper up to A4, which the ISO 216 standard sets at 210 by 297 millimetres.
- A3 printer
Also takes A3, at 297 by 420 millimetres, for plans and wide spreadsheets.

- Duty cycle
The maker's rated maximum pages in a single month, as GOM's August 2026 guide puts it.
- Recommended monthly volume
The steady load to size a printer against, well below its duty cycle.
CompAndSave's October 2025 guide pairs a 35,000 page duty cycle with 2,500 pages a month.
- Fleet
Every printer across all your offices, counted as one group.

Staff per printer at one site, compared office by office.

What do the page and plan terms mean?
Every plan counts pages, so these words shape the monthly figure.
- Mono and colour pages
A mono page uses black toner alone. A colour page uses any colour toner.
- Page allowance
The pages a plan includes each month, such as the Starter plan's 2,000 mono pages.
- Excess page rate
The charge for each page above the allowance, written into your quote.
Here the rate is normally the same at every location.
- Cost per page
A month's print charges divided by the pages printed that month.
Plans here are priced per device, so this page prints no per page figure.
- Meter read
The page counter inside a printer, read to count the pages for a period.
- Toner yield
Lexmark explains that ISO/IEC 19752 counts a mono cartridge's pages on test pages with about 5 per cent of each page inked.
- Consumables
The parts printing uses up, such as toner and drums.
All three plans include toner and parts, but not paper or staples.
Who services the printers, and how fast?
Who turns up when a printer stops, and how soon.
- Managed print services (MPS)
One supplier provides the printers at your sites and keeps them running, under one agreement.

- Technician
Employed by an authorised dealer or the manufacturer, whichever office reports the fault.
- Response time
A capital city site generally sees a technician within 4 hours.
A regional town is generally reached the next business day.
Both are the usual pattern, and the agreement carries no attendance term.
- Uptime
The share of time a printer is working.
Ask any supplier quoting an uptime figure how they measure it.
- Toner monitoring
Toner levels are monitored, and you get an update when one runs low.
Printers are serviced across Australia.
From $160 + GST a month per device.
Standard plans, tailored to your fleet. Excess page rates are stated in your quote and are normally the same at every location.
Paper, staples and pages above your agreed volume sit outside that figure.
Which printer security terms come up?
What a printer stores, and who can change its settings.
- Firmware
The printer's own built in software, updated by its maker.
- Admin page
The settings page a browser reaches, guarded by a password.
According to ASD's Information Security Manual, changing default accounts at setup helps cut risk.
- Drive overwrite and encryption
Overwrite writes over deleted jobs on the printer's drive. Encryption scrambles what stays there.
Kyocera Document Solutions Australia's 2018 guide notes a deleted job stays until overwritten.
- End of term data wipe
Clearing the drive before a printer leaves your office.
Here a wipe is a paid option, and the exit terms are clear.

What do the printing software terms mean?
Seven words describe how a job travels to paper.
- Print management software
Software that tracks, limits or routes print jobs.
- Secure release
A job waits until its owner reaches a printer and releases it.
Pull printing and follow me printing are other names for it.

- Card or code release
The owner taps a staff card or types a code to release the job.

- Print server
A computer at a site that queues jobs and holds the drivers, the software each computer needs to print.
- Printing without a print server

- Scan to email, scan to folder
A scan sent straight to an inbox, or to a shared network folder.

Which contract terms decide how you leave?
How long you commit, how you are billed, and what happens at the end.
- Term and end date
The length of the agreement, and the day it finishes.
- Staged move
Offices move across one at a time, over months, never all at once.
- New office joining
A new office joins the same agreement.
The monthly figure changes. The end date can stay or extend.
- Site report
One invoice covers every office, with a separate report for each site.
- Customer owned printer
A printer you bought outright, which cannot join this agreement.
Its upkeep runs on a service contract for printers you own.
- Total cost of ownership
Everything a printer costs over its life, beyond the monthly figure.

- Collection

Move to another supplier and they usually return the printers, or we collect them for a fee.

What do the printer emissions terms mean?
Five words turn printer power into a figure you can report.
- ENERGY STAR
A voluntary US EPA program that lists energy efficient equipment, printers included.
Its register gives a typical electricity use for each certified model, in kWh a week.
- kWh
A kilowatt hour, 1,000 watts used for one hour, the unit on a power bill.
- Tonnes CO2e
Tonnes of carbon dioxide equivalent, with other greenhouse gases converted to one measure.
- Scope 2
According to the Clean Energy Regulator, emissions from the indirect consumption of an energy commodity.
In plain terms, the emissions behind the electricity you buy.
- Scope 3
Indirect emissions other than scope 2, which the Regulator places outside your organisation's boundary.
Print terms buyers ask about
Is an MFP the same as a photocopier?
In everyday office talk, yes.
Kyocera Document Solutions Australia notes most staff still call an MFD a photocopier.
Either name means one machine that prints and copies, and scans.
What is the difference between duty cycle and monthly volume?
Duty cycle is the most pages a printer is rated for in a month.
Recommended volume is the steady load it is built to carry.
Size each office to the second figure.
Is toner included in a managed print plan?
Yes. All three plans include toner and parts, with labour and servicing.
Levels are monitored, and an update goes out when one runs low.
Paper and staples are not included.
What is a copier lease?
A finance agreement for one copier or printer, paid monthly over a fixed term.
Servicing and toner can come under a separate contract alongside it.
A managed agreement supplies the printer, and every plan covers toner and parts along with labour and servicing.
