“Any issues are sorted quickly and the whole printer leasing process has been seamless.”

Alana McDermaid, Google review of Global Document Solutions, who operate this service.

Global Document Solutions leases printers to groups of 5 or more offices on one agreement, with servicing in every plan and one invoice.

What does business printer leasing cover for a group of offices?

Each office gets a supplied printer, serviced for a monthly fee.

Business printer leasing, or corporate printer leasing, is paying monthly for printers the company does not own.

Leased branch by branch, a group can end up with a different supplier at every address.

Under one agreement, Global Document Solutions (GDS) supplies the printer at each office instead.

  • Every printer is matched to the volume its own office prints.
  • A printer the company already owns stays off the agreement.
  • A supplied printer takes its place.

Buying outright works differently.

It leaves toner and repairs to each office, or to a service contract per machine.

How the service works as a whole is set out in the managed print agreement each lease runs on.

Last updated 19 October 2026.

Are the lease and the servicing with the same company?

Ask before any office commits to a term.

Payments and servicing across a 36 month lease Top: a finance company is paid for 36 months while a dealer's servicing stops at month 22, so the payments after that point are drawn striped and labelled no servicing. Bottom: one box marked GDS holds both payments and servicing for the full 36 months. finance company payments dealer servicing no servicing GDS payments servicing 0 36 months
With two companies, payments can outlast the servicing. With GDS, both run the full term.

Sharp Copiers in Melbourne describes a standard printer lease as a monthly fee paid to a finance company.

Per the same page, a separate maintenance agreement with the dealer covers toner and parts.

Ask each supplier two questions.

  1. Which company holds the lease, and which one fixes the printer?
  2. What is still owed if the servicing stops part way through?

With GDS, one company holds the agreement, the repair requests and the invoice for every office.

Clauses to read before any office commits are listed in the lease clauses finance should check first.

What happens to the leases each office holds today?

Every lease keeps its own finish date.

No office has to break its current lease to come across.

Offices come across singly, spread over months, as their leases finish.

A group already holding several leases starts with the notice date on every lease it holds.

Ask each leasing company, in writing, for four things.

  • The date the lease ends
  • The notice period it needs
  • Whether it rolls on by itself if nobody gives notice
  • A payout, the sum to end its lease early, which only that company can quote
  1. Mark each notice date in the calendar finance already uses.
  2. Then send each office's end date with your enquiry.

The order offices move in is drawn on leases replaced office by office, earliest end date first.

From $160 + GST a month per printer.

Standard plans, tailored to your fleet. Excess page rates are stated in your quote and are normally the same at every location.

Paper, staples and pages above your agreed volume sit outside that figure.

What does the monthly lease include for each printer?

One plan per printer, chosen from three published plans.

Each printer goes on Starter, Professional or Enterprise, standard plans that can be tailored to your business.

Starter covers black and white pages only, while Professional and Enterprise add colour.

In every plan

The printer's toner and parts, plus labour and servicing.

Outside every plan

Paper and staples.

Pages over the allowance

Charged at the excess page rate your quote sets out. According to GDS, every location normally pays that same rate.

Optional extra

Staff can pick up prints at any site by card or code, on PaperCut software, at a cost priced in your quote.

See an example group with each office on its own plan.

What if the company opens another office part way through?

It is added to the lease the company already holds.

A new office added part way through a lease Four office blocks stand on a dark bar, the lease that is running. A fifth block lowers onto it, and the pale band below picks up a darker layer from that point on. The bar stops at its end date, and a lighter run carries on to a later mark. One agreement, already running a fifth office end date or later the monthly figure steps up here
A new office raises the monthly figure. The end date can hold or move out.

A new office goes onto the same agreement, so that office needs no second contract.

The monthly figure changes to take in that office's printers, and its end date can hold or move later.

Before the new office opens, two steps.

  1. That office can be priced on its own before it joins.
  2. Billing is flexible, so tell us how finance wants the invoice set out.

Closing or moving a branch is covered in what changes when a company opens or closes a site.

Who fixes a leased printer at a regional office?

The same desk that takes head office's calls.

  1. The office rings the same number every other office uses.
  2. GDS logs the fault and books an authorised dealer or the manufacturer to attend.
  3. GDS follows it until the printer is fixed.
Capital city office

The technician generally arrives within 4 hours.

Regional office

Generally a visit on the next business day.

Neither time is a written term of the agreement.

No branch pays the dealer or agrees terms with one.

Toner is monitored at every printer, and GDS sends an update once a level runs low.

Servicing runs across Australia, through authorised dealers and manufacturers.

What happens to the printers when the lease term ends?

An upgrade, or a move to another supplier.

Where each leased printer goes when the term is over One printer has three routes out of it. One climbs to a newer printer with a tick, one crosses into a dashed outline for another supplier, and one falls to a collection slip. upgrade new supplier collected
Three routes out at the end of a term, and only the upgrade comes with collection covered.

GDS's printer lease prices page puts every machine on a 36, 48 or 60 month term.

Upgrade with GDS

GDS covers the collection fee.

Move to another supplier

That supplier usually returns the printers.

If it does not

GDS collects them for a fee.

To plan the upgrade, name the office whose term ends first.

A paid option clears each printer's stored documents when the term finishes.

Per the same page, leaving early costs any outstanding amounts, the remaining payments and reasonable recovery costs.

A move of the whole group is planned in changing provider one office after another.

What finance and operations ask about leasing printers company wide

What is corporate printer leasing?

Corporate printer leasing means a company leases the printers at every office it runs.

On one agreement, 5 or more offices share one invoice, with a report for each site.

Can each office be priced separately?

Yes, each office can be quoted on its own.

Billing is flexible, so say how finance wants it set out.

Do we have to wait for every current lease to end?

No, each office comes across as its own lease ends.

The other offices carry on as they are until then.

Can printers we already own join the lease?

No, printers a company owns cannot join the agreement.

Instead, every office receives a supplied printer.

Put the whole company's printers on one lease

Pick a range of offices. The lease dates can wait for the phone.
