Why does a clinic printer carry more risk than an office printer?
Its tray can be a few metres from the public.
Referrals and test results come out of a printer behind the front desk, along with consent forms.
Medical centres and specialist rooms print this way, as do allied health practices and aged care homes.
The chairs in the waiting room can be within sight of that tray.
A page left there can carry a patient's name, and sometimes a diagnosis.
The OAIC, the Office of the Australian Information Commissioner, is the national privacy regulator.
According to the OAIC, the health sector reported 18 per cent of data breaches from January to June 2025, more than any other sector.
Human error caused 37 per cent of all breaches in that period, according to the same OAIC figures.
A referral collected by the wrong person is an error of exactly that kind.
Per the OAIC, any organisation that provides a health service and holds health information is covered by the Privacy Act, whatever its size.
A group of 5 clinics has 5 front desks where that can happen.

What does held printing change at the reception counter?
The page waits for the staff member, not the tray.
A held job stays in the queue until somebody on staff taps a card or enters a code at the printer.
Nothing lands in the tray while reception is busy with a patient.
Release runs on PaperCut as an optional extra, with its cost in the quote.
Staff who work across 2 or 3 clinics can collect prints at any of them with the same card or code.
Read how held printing works when a group runs several sites before choosing it.
What patient data stays on the printer itself?
Paper is only half of it.
Many multifunction printers, the kind that also copy and scan, keep a drive that holds copies of their jobs.
A scanned pathology request can stay on that drive long after the paper copy is shredded.
The paper is gone. The copy is not.
Encryption and overwrite settings, on models that offer them, reduce what the drive retains.
Encryption scrambles stored jobs. Overwrite erases them.
The drive leaves the clinic whenever the printer does, at the end of the term.
Wiping the drive when the term finishes costs extra, so request it when the quote is drawn up.
The OAIC's guidance on outsourcing suggests contract clauses on how data is kept or destroyed.
Printers a clinic already owns cannot join the agreement, so plan what happens to each one's drive.
Apply the 6 settings every clinic printer should carry on the first day.
Which printer does each part of a clinic need?
Three places print, and each one asks for something different.
| Where | What it prints | Ask for |
|---|---|---|
| Front desk | Referrals, consent forms, invoices | Held release, A4, scan to email |
| Consulting rooms | Care plans, letters, results | A shared A4 printer down the hall |
| Practice office | Rosters, reports, policies | A3 only if posters or charts print there |
Each clinic's printers are sized to the pages it prints in a month.
Each one then goes on one of the 3 plans a clinic printer is matched to.
Each clinic's plan pays for its toner and parts, and for the labour of servicing.
Toner levels are watched, and the clinic gets an update when a cartridge runs low.
From $160 + GST a month per printer.
Standard plans, tailored to your fleet. Excess page rates are stated in your quote and are normally the same at every location.
Paper, staples and pages above your agreed volume sit outside that figure.
How does a healthcare group move its clinics onto one agreement?
One clinic at a time, in the order its current agreements end.
- List each clinic, its printers and the month its current agreement ends.
- Each clinic's printing costs are reviewed before the group commits.
- The first clinic joins when its own agreement ends.
- The other clinics follow, so a group of 5 can join across 5 different months.
No clinic has to leave an agreement early to join.
Leaving early depends on the current agreement. Only that supplier can price it.
Opening a new clinic adds it to the same agreement, and the group's monthly figure moves with it.
When a clinic joins, the group's end date can stay or be extended.
Finance pays a single invoice for the group, and each clinic gets its own report.
That report lets each clinic carry its own printing cost in its own budget.
Start with how managed print runs across a group of sites.
Who fixes a printer at a regional clinic?
The same desk takes the call for every clinic in the group.
- The clinic rings one number and names the printer.
- GDS sends an authorised dealer or the manufacturer to that clinic.
- GDS follows the job until the printer prints again.
- Clinic in a capital city
Generally a technician reaches the clinic within 4 hours.
- Clinic in a regional town
Generally the next business day.
These times are the usual pattern. Neither is a contract term.
Every Australian address is serviced, from a city medical centre to a country practice.
A technician at a clinic printer is in a room with patient records, so ask who attends and how they are booked.
What healthcare groups ask about managed print
Does the Privacy Act cover the printers in a small clinic?
The OAIC says the Privacy Act 1988 covers any organisation that provides a health service and holds health information, whatever its turnover.
Printed and scanned patient records are health information too.
None of this is legal advice, so check your obligations with your own adviser.
Can a healthcare group join managed print one clinic at a time?
Yes. Each clinic joins in the month its current agreement ends.
Its costs are reviewed before the group commits.
The clinics already on the agreement carry on as each new one arrives.
Is patient data wiped from a printer when the agreement ends?
Not as standard.
Wiping the drive when the agreement finishes is a paid option.
Ask for it in the quote, and ask how the wipe is recorded.
Can staff collect held prints at any clinic in the group?
Yes, with a card or code at any clinic's printer.
Release runs on PaperCut, an optional extra.
Its cost is set out in the quote.
