What does a printer service contract cover?

The upkeep of a machine you already have, on the terms one supplier writes.

A printer service contract, also sold as a printer maintenance contract, pays a supplier to keep a machine you already have working.

According to PrintCom's September 2025 guide, its own maintenance plans bring scheduled preventative visits and genuine parts.

The same guide lists toner supply, and response within agreed terms, as part of those plans.

What a given contract includes is set by the supplier who writes it.

One may cover toner, while another bills each cartridge on top.

The contract covers upkeep, never the machine itself.

When it wears out, replacing it is a separate cost.

Once a machine is beyond economical repair, that guide points to a like for like replacement or a rental.

A photocopier maintenance contract is the same thing for a multifunction printer.

7 points to have in writing, for every office that holds one.

  1. Which parts are covered, including the drum that lays toner on the page and the fuser that heats it on.
  2. Whether toner is in the fee or billed per cartridge.
  3. Whether labour and a technician's visit are in the fee.
  4. The response the supplier commits to, and whether it is written down.
  5. Whether a loan machine is offered during a long repair.
  6. The end date, and how the contract renews.
  7. What happens when the machine is beyond economical repair.

Can printers we already own join the agreement?

No, so each office is supplied one under it.

Printers your group owns cannot join the agreement.

An owned printer keeps its service contract until that office moves across.

Offices come across singly, spread over months, each when its contract ends.

If an office upgrades with us, the fee to collect its old printers is ours.

Pick another supplier instead, and that supplier usually returns the machines, or we collect them at a fee.

How much does printer maintenance cost?

What the contract covers sets the price, so compare the inclusions first.

Two maintenance quotes only compare when the parts, the toner and the technician visits match.

A fee with toner billed on top needs a year of toner added before it compares.

That point comes office by office, on different dates, when each office owns its printer.

In a capital city, a technician is generally there within 4 hours.
