What is an office photocopier now?
A multifunction printer, the machine most staff still call the photocopier or the office copier.
An office photocopier today is a photocopier with scanner and printer in one machine.
It copies and scans as well as printing, often from a feeder that takes a stack of pages.
Scans can go straight to an email address or a shared folder.
Larger models stand on the floor, with extra paper drawers underneath.
A colour model prints colour as well as black and white.
A mono model prints black only, and both kinds copy and scan.
A scanner on its own only reads a page in.
A photocopier reads the page and prints it again.
The trade calls it an MFP, short for multifunction printer.
That word, and the rest in a quote, are in the print terms explained in plain words.

Which photocopier suits each office?
The one sized to what that office prints, never the biggest on the list.
- Black and white pages a month, from the page counter on the machine there now.
- Colour pages a month, if the office prints colour at all.
- Paper size, A4 only or A3 as well.
- How many people share the machine.
- How much the office scans, and where the scans go.
Pages decide it.
Five offices give five different answers.
Those answers decide the machine at each office, so a quiet branch is not handed the head office's machine.
For a first count, tally every office's machines in four taps.
According to ISO 216, the paper size standard, one A3 sheet is two A4 sheets side by side.
Paper size has its own guide, whether an office needs A3 or only A4.
What comes with each photocopier on the agreement?
The machine, and everything that keeps it printing.
Each office is supplied Kyocera or HP devices matched to its page count.
Toner and parts come with every plan, with labour and servicing, and toner levels are watched so you hear when one runs low.
Every device carries a monthly page allowance, from 2,000 black and white pages up to 5,000.
Two of the three plans include colour pages too.
Any pages beyond that allowance carry the excess rate written into your quote.
Each office gets its own cost review before you commit.
Staff can collect prints at any office with a card or code, run on PaperCut print software, as an optional extra.
Its cost is stated in the quote.
From $160 + GST a month per device.
Standard plans, tailored to your fleet. Excess page rates are stated in your quote and are normally the same at every location.
Paper, staples and pages above your agreed volume sit outside that figure.
Buy a photocopier per office, or supply every office at once?
Buying puts a machine and a service contract at each address.
A bought photocopier still needs its own toner and its own technician.
Across six offices, that can mean six machines ageing on six timelines.
On this agreement, every office is supplied its photocopier, and photocopiers your group already owns cannot join it.
Offices move across one at a time, over months, as each current arrangement ends.
A new office joins the same agreement, and the monthly figure changes with it.
The written list of offices names the supplied photocopier at every address.
Offices holding leases now have their own guide, moving leased offices onto one agreement.
Owned machines on a service contract are covered in a service contract against a supplied machine.
| Point | Bought per office | This agreement |
|---|---|---|
| The machine | Bought for each office | Supplied to each office |
| Toner | Bought, unless a service contract includes it | In every plan |
| Repairs | Paid as they happen, or under a service contract | Parts and labour in every plan |
| Billing | A bill from each supplier | One invoice, with a report for each office |
| A new office | Another machine to buy | Added to the same agreement |
Then list your offices and what each one prints, and each is priced on its own.
What happens when an office photocopier stops?
One call, whichever office it is.
Whichever office reports the fault, the call goes to one service desk, and an authorised dealer or the manufacturer attends.
Capital city offices generally see a technician within 4 hours.
Regional offices are generally reached the next business day.
The agreement does not make either time a term.
Photocopiers are serviced across Australia.
A photocopier keeps scans and print jobs on its drive.
According to Kyocera Document Solutions Australia, a deleted job can stay there until the space is reused.
According to the Australian Government's Information Security Manual, a hard disk inside office equipment is media to wipe or remove.
A wipe at the end of the term is a paid option, with its exit terms stated.
The settings to check are on a security checklist for every office printer.
What groups ask before choosing office photocopiers
How much is an office photocopier?
On this agreement, each photocopier is on a monthly plan per device.
The published figure is in the price band on this page.
Each office is quoted on its own before you agree.
Is a scanner the same as a photocopier?
No. A scanner only reads a page in.
A photocopier scans it and prints a copy.
An office multifunction printer does both, and prints from computers too.
What is the best photocopier for office use?
The one sized to what that office prints.
Count its black and white pages, its colour pages and its paper size first.
No brand is ranked here, because each office decides its own machine.
Size every office's machine
Count the offices that share a photocopier.
